Getting Hired

  • UCSB may only employ individuals who are legally eligible to work in the United States.
  • All employees must present documented proof of eligibility to work. Your prospective employers will ask you to provide original documents. You should go to your interview with these necessary documents. For instance, your employer must review your actual Social Security Card, simply knowing your Social Security number is not adequate. After reviewing your documents and completing your I-9 form, your employer may allow you to work.
You will be asked to provide:
  1. One document from List A
    (to establish Identity and Employment Eligibility) OR
  2. One document from List B (to establish Identity) and One document from List C (to establish Employment Eligibility).
For Example:
You may present your U.S. Passport or your driver's license and
your Social Security Card.
Note:
Any photo identification that you provide should be recent
enough that it still looks like you.

Documents List to Provide U.S. Employment Authorization/Eligibility

DOCUMENTS THAT ESTABLISH BOTH IDENTITY AND EMPLOYMENT ELIGIBILITY
LIST A
  1. U.S. Passport (unexpired or expired)
  1. Unexpired foreign passport, with I-551 stamp or attached INS Form I-94 indicating unexpired employment authorization
  1. Alien Registration Receipt Card or Permanent Resident Card (INS Form I-551)
  1. Unexpired Temporary Resident Card (INS Form I-688)
  1. Unexpired Employment Authorization Card (INS Form I-688A)
  1. Unexpired Employment Authorization Document issued by the INS which contains a photograph (INS Form I-766 or I-688B)
OR
DOCUMENTS THAT ESTABLISH IDENTITY
LIST B
  1. Driver's license or ID card issued by a state or outlying possession of the United State provided it contains a photograph or information such as name, date of birth, sex, height, eye color, and address
  1. ID card issued by federal, state, or local government agencies or entities provided it contains a photograph or information such as name, date of birth, sex, height, eye color, and address
  1. School ID card with a photograph
  1. Voter's registration card
  1. U.S. Military card or draft record
  1. Military dependent's ID card
  1. U.S. Coast Guard Merchant Mariner Card
  1. Native American Tribal document
  1. Driver's license issued by a Canadian government authority

For persons under age 18 who are unable to present a document listed above:

  1. School record or report card
  1. Clinic, doctor, or hospital record
  1. Day-care or nursery school record
AND
DOCUMENTS THAT ESTABLISH EMPLOYMENT ELIGIBILITY
LIST C
  1. U.S. social security card issued by the Social Security Administration (other than a card stating it is nat valid for employment)
  1. Certificate of Birth Abroad issued by the Department of State (Form FS-545 or Form DS-1350)
  1. Original or certified copy of birth certificate issued by a state, county municipal authority or outlying possesion of the United States bearing an official seal
  1. Native American tribal document
  1. U.S. Citizen ID Card (INS Form I-197)
  1. ID Card for use or Resident Citizen in the United States (INS Form I-197)
  1. unexpired employment authorization document issued by the INS (other than those listed under List A)


On-Campus Employment Procedures:

If you are offered a position, your employer will:

  • Accept your Referral; and
  • Prepare and submit employment paperwork for you; and
  • Provide you with a time sheet; and
  • Release you to begin working; and
  • Provide you with a Job Description; train and supervise you; and evaluate your job performance.

    Caution:

    If a Work-Study Deferment Deadline is fast approaching and you
    have just been hired, contact the Financial Aid Office
    immediately; ask them to "defer" your Work-Study award.


  • Off-Campus Agency/Organization

    If you are hired for an Off-Campus position, you must:
    • Present your Off-Campus Federal Work-Study Referral to your employer; and

    • Have your employer complete and sign the bottom portion of your Off-Campus Referral; and

    • Return to the Financial Aid Office with a completed Off-Campus Referral Packet; and

    • Meet with the Work-Study Office Administrative Assistant to:

    • Complete your employment/payroll paperwork; and

    • Pick up your Letter of Clearance and initial Work-Study Time Sheet.
    Caution:

    DO NOT begin working unless/until you have received your
    Letter of Clearance. Your Letter authorizes you to begin
    working on Work-Study funds.
